1. Who we are
Clarity Works ("we", "us", "our") is a life management platform that helps you organise your goals, habits, planning and day-to-day life. We are based in the United Kingdom and make the service available to users worldwide.
For users in the UK and EEA, we are the data controller for your personal data when you use Clarity Works.
You can contact us about privacy matters using the contact details on the Clarity Works website (for example via the contact or support page).
2. What data we collect
We collect the following types of information when you use the service:
Information you provide directly
Email address – to create your account, send login links and important service emails.
Name – to personalise emails and greetings.
Support messages – when you contact us with questions or issues.
Payment information
Payments are handled by Stripe. Your card details are collected and processed by Stripe, not by us. We receive:
- A Stripe customer ID
- Subscription status and billing information
We do not store your full card number, CVC or expiry date on our systems.
Third-party integrations
Notion – we receive an OAuth token and workspace/database IDs so we can read/write data to the parts of your workspace you authorise. This integration is required for the service to function.
Google Calendar (optional) – we receive an OAuth token (and refresh token) to read and create/update events according to the permissions you grant. You can choose to connect or disconnect this integration at any time.
What we do not collect
- We do not use advertising or tracking pixels.
- We do not collect advertising IDs or device fingerprints.
- We do not sell your personal data.
3. Why we use your data (and legal bases)
Under UK GDPR/EU GDPR, we must tell you the legal reason we process your data.
We use your data to:
Provide and maintain the service
Account creation, dashboards, widgets, syncing.
Legal basis: performance of a contract.
Send login and essential service emails
Login links, security notifications, important service information.
Legal basis: performance of a contract.
Send optional summaries or similar emails
Weekly/monthly summaries or tips (where offered).
Legal basis: legitimate interests (keeping you informed about the service).
You can opt out of non-essential emails via unsubscribe links where available.
Process payments and manage subscriptions
Starting and renewing subscriptions, handling cancellations and failed payments.
Legal basis: performance of a contract.
Sync with Notion and Google Calendar
Reading/writing tasks, events and related data as you configure.
Legal basis: your consent given when you connect these integrations.
Provide support and improve the service
Answering support requests, debugging issues, improving features, preventing abuse.
Legal basis: legitimate interests.
4. Where and how your data is stored
We use third-party providers to run Clarity Works, for example:
- Supabase (PostgreSQL and storage) – for user accounts, settings and app data.
- Netlify – for hosting the web app and serverless functions.
- Stripe – for payments.
- Email provider (e.g. Resend or similar) – for transactional and service emails.
These services may store data in the UK, EU or other countries. Where data is transferred outside the UK/EEA, we rely on appropriate safeguards (such as standard contractual clauses) to protect your information.
Security
We use industry-standard measures to protect your data, including:
- HTTPS (TLS) encryption for data in transit.
- Encryption at rest provided by our hosting providers.
- Access controls so that each user can only access their own data.
- Secure storage of tokens for third-party integrations.
No system is 100% secure, but we work to keep your data reasonably protected.
5. How long we keep your data
We keep your data only for as long as we need it, for example:
- Account and subscription data – while your account is active and for a reasonable period afterwards (for example up to 12 months) for backups, records and legal obligations.
- Widget configurations and app content – while your account is active, deleted when you delete your account (subject to backups).
- Integration tokens (Notion, Google Calendar) – while the integration is connected, deleted after you disconnect or delete your account.
- Server logs and backups – kept for a limited time for security and disaster recovery, then automatically deleted or overwritten.
7. Your rights
If you are in the UK or EEA, you have rights over your personal data, including the right to:
- Access your data
- Ask us to correct inaccurate data
- Ask us to delete your data in certain situations
- Ask us to restrict how we use your data
- Ask for a copy of your data in a machine-readable format (data portability)
- Object to certain processing based on legitimate interests
- Withdraw consent for integrations (for example by disconnecting them)
You also have the right to complain to your local data protection authority. In the UK, this is the Information Commissioner's Office (ICO).
8. How to use your rights
To exercise any of these rights or to ask questions about this policy, please contact us using the contact details given on the Clarity Works website and clearly state that your message is a privacy request.
We may need to verify your identity before responding. We aim to reply within one month where required by law.
9. Children
Clarity Works is not designed for children under 16. We do not knowingly collect data from children under 16. If you believe a child has provided us with personal data, please contact us and we will delete it where appropriate.
10. Changes to this privacy policy
We may update this policy from time to time. When we do, we will change the "Last updated" date at the top. If there are significant changes, we may also notify you in the app or by email.
Your continued use of Clarity Works after any changes means you accept the updated policy.
